Formulas & first-year assumptions

Annual base pay = salary, or hourly pay × 40 hours × 52 weeks (2,080 hours).

Employee annual cost = base pay + (base pay × employer tax % ÷ 100) + (monthly benefits × 12) + (monthly software/equipment × 12) + one-time recruiting/onboarding.

Employee monthly cost = employee annual cost ÷ 12. This is an annual average, including onboarding amortized across year one—not a monthly cash-flow forecast.

Outsourced annual cost = all-in outsourced monthly fee × 12.

Annual difference = employee annual cost − outsourced annual cost. Positive = savings; negative = additional expense. Percentage = difference ÷ employee annual cost × 100; not applicable when employee cost is zero.

All amounts are USD. Payroll tax applies to base pay only; actual tax treatment may differ. This model excludes overtime, salary changes, inflation and indirect costs. Add applicable outsourced taxes, tools and extra charges to the monthly fee. One-time employee costs are included in the first year only. These are planning assumptions, not sourced statistics, tax advice or a quote.
